Job Description

The role of the Executive Assistant at our start-up non-profit will be to assist in event planning, organization, and creating events such as Shabbat dinners, weekly Torah classes, and social events. This is a crucial part of the success of the organization’s programs and activities. Here are some specific responsibilities that the executive assistant in this role has:

1. Event Planning and Organization: The executive assistant will be responsible for assisting in the planning and organization of JTLV events, including identifying the goals and objectives of the event, determining the target audience, selecting the venue and location, and developing an event timeline.



2. Concept and Idea Development: The executive assistant will need to work closely with the non-profit organization’s leadership team to develop unique and engaging concepts and ideas for each event. This might include brainstorming creative event themes, deciding on appropriate activities and entertainment, and developing marketing materials.



3. Venue Selection and Contract Negotiation: The executive assistant will be responsible for researching and selecting venues that fit the non-profit’s needs and budget. This might involve negotiating pricing and contracts with various vendors and suppliers, such as caterers, AV companies, and event rental companies.

4. Event Logistics: The executive assistant will be responsible for coordinating all logistics related to the event, including setting up and managing event registration, coordinating transportation, arranging for equipment rentals, and overseeing event setup and tear-down.

5. Budget Management: The executive assistant will need to manage the event budget and ensure that all expenses are within the organization’s financial guidelines.

6. Communication and Marketing: The executive assistant will be responsible for communicating event details and updates to participants, volunteers, and staff, and for developing marketing and promotional materials for each event.


Overall, the executive assistant plays a critical role in the success of the non-profit’s events by being creative, organized, and detail-oriented, while also being able to work well with others and manage multiple priorities.
